Who we are
AvailableTalent.io is a recruitment marketplace connecting immediately-available candidates with employers. It is run by AvailableTalent Ltd, a company registered in England and Wales (company number 17483715), registered office 81 Amos Drive, York, YO42 2BS. AvailableTalent Ltd is the data controller for the personal data described below, and is registered with the Information Commissioner's Office (registration number ZC259099).
What we collect, and why
From candidates: full name, email address, phone number (optional), target salary, your location, remote/office preference, the type of role and industry you're looking for, whether you have the right to work in the UK (your own answer: we don't ask for documents or your nationality), your uploaded CV and the employment history, skills and (if you add them) years of experience extracted or tagged from it, and, if you choose to add them, a personal statement, hobbies/interests and a portfolio link. We also ask for the name, email address and company of each of your two references. We use this to create and display your profile to employers, to let employers search and filter the candidate pool, and to verify your recent employment history. Your typed location is looked up against a mapping service (see “Other services we use” below) so employers can search by distance, not just exact wording.
From references: the name and email address a candidate gives us for you. We use this solely to ask you to confirm you're able to act as a reference, and to record your response.
From employers: company name and work email address, used to identify you, let you sign in, and keep a record of which candidates you've been introduced to. If you report a hire, we also process the agreed salary and hire date to calculate and invoice our placement fee (see “Payment processing” below). If you add a role, we keep the job description you upload and the hiring criteria we read from it (for example skills, minimum experience, location and salary range), and look up the role's location on a map so candidates can be matched by distance. We use these to rank candidates for you and, in anonymous totals only, to show candidates how their profile compares with open roles (see “Automated matching” below).
Automatically: a signed-in session cookie (for candidates and for employers), used only to keep you signed in, not for tracking or advertising. See “Cookies” below.
Search activity: when an employer searches the candidate pool or opens one of their roles, we keep a record of that search (which employer, the filters they used, when) and which candidates appeared in the results. We also record when an employer opens a candidate's anonymous profile. We use this to run and improve the marketplace, to spot possible attempts to avoid our placement fee, and to show candidates how many searches they appeared in. Candidates only ever see a count, never which employers searched or what they searched for. Our legal basis for this is legitimate interest.
If you report an issue: your name, email address, what you tell us and any screenshots you attach, plus whether you were signed in and which browser you were using. We use this only to look into and reply to your report, and we email you a copy for your records. Our legal basis for this is legitimate interest in keeping the service working. Please don't include anything in a screenshot you don't want us to see.
Our legal basis for processing
For candidates and employers, processing is necessary to provide the service you've asked us for (creating and maintaining your profile or account, and running the marketplace). For references, we rely on legitimate interest: verifying a candidate's employment history is a reasonable and expected part of a recruitment service, and we keep the data we ask for to the minimum needed for that purpose. Where we invoice an employer for a placement fee, that processing is necessary to perform our contract with them and to meet our own accounting obligations.
How long we keep it
If your candidate profile becomes inactive (you stop confirming you're available, and it is hidden from employers as a result), we permanently delete your profile and any attached reference data after 6 months of continued inactivity. You don't need to wait for this: you can request deletion at any time (see below).
If an employer reports hiring a candidate we introduced them to, we keep a record of that placement (the fee charged, the invoice, and a short non-identifying reference code for the candidate) for our own accounting and tax obligations, even if the candidate later deletes their profile; this record no longer contains anything that identifies the candidate once that happens. Similarly, if an employer was introduced to a candidate who later deletes their profile, we keep a bare, anonymised record that an introduction took place (which employer, when) rather than deleting it outright: this protects against an employer persuading a candidate to delete their profile specifically to avoid our placement fee, and it no longer contains anything that identifies the candidate.
Search activity records (see above) are deleted after 6 months. If a candidate deletes their profile, they are removed from every stored search result and their profile-view records are deleted straight away.
Issue reports are kept in our email for as long as we need to deal with them, and deleted no later than 12 months after the issue is resolved.
Other services we use
We use a small number of service providers to run AvailableTalent.io, each acting on our instructions: Supabase (database hosting), Anthropic (to read CV and job-description text and extract structured data from it: Anthropic is based in the US; we rely on Anthropic's own data processing terms and standard contractual clauses for this transfer), Spacemail/ Spaceship (to send the emails described on this page), OpenStreetMap's Nominatim service (to turn a candidate's typed location, or the location on an employer's role, into map coordinates for distance matching; only the location text is sent, not your name or any other detail), and Stripe (to invoice employers for placement fees: see below). We don't sell personal data, and we don't share it with anyone else except as needed to provide the service (for example, showing a verified candidate's profile to an employer using the marketplace).
Payment processing
When an employer reports hiring a candidate, we use Stripe to create and send an invoice for our placement fee. We pass Stripe the employer's company name and email, the fee amount, and a short non-identifying reference code for the candidate (never their name or contact details). Stripe processes payment on our behalf and we don't store or see full card details ourselves.
Automated matching
When an employer searches or filters the candidate pool, or checks candidates against a role they've uploaded a job description for, we calculate a live match score to help them sort results. For a role, the score looks at job titles, skills, years of experience, location and distance, remote/office preference, employment type, industry and salary expectations. It only runs when someone opens a page that needs it, is recalculated fresh each time rather than stored, and never decides anything on its own: an employer always reviews candidates themselves before choosing who to reveal or contact, and nobody is hidden from an employer because of a low score (an employer can choose to list only candidates who have every skill they've marked as a must-have for a role). If a candidate is a strong match for several other open roles, we may show employers a small “in demand” marker with a count of those roles, never which roles or employers they are.
Open roles on a candidate's profile: when a candidate views their own profile, we run the same match against employers' open roles to show them how many are a strong match, and which skills roles like theirs often ask for that aren't on their profile yet. Candidates only ever see totals. They never see which employers have roles, job titles, salaries, job descriptions or anything else from a single employer, and a skill is only shown when at least two different employers are asking for it. Our legal basis for this is legitimate interest in helping candidates keep their profiles accurate and matched to real demand.
Your rights
You can ask to see the data we hold about you, correct it, or have it permanently deleted. Candidates and references can both request deletion instantly, with no need to contact us first, using the “permanently delete my data” link included in our emails to you, or from your profile if you're signed in.
